When something looks wrong
Most of the time nothing is broken. Something is named differently, or your job does not include that part of the system. This page covers the ones people hit most.
"The manual uses different words from my screen"
This is the most common one, and it is expected.
Manaaki Central lets each organisation choose its own words. One organisation says Service Episode; another calls the same thing a Care Journey. The pictures in this manual were taken on one organisation's system, so they show that organisation's words.
The pictures in this manual were taken on one organisation's system. Yours uses some different words. The buttons, and where they sit on the screen, are the same.
| Where a picture says | Your screen says |
|---|---|
| Care Journey | Service Episode |
| Entry | Referral |
| Kaiāwhina | Case Worker |
| Whānau | Service User |
The buttons, and where they sit on the screen, are the same. If a page tells you to click something in the top right, it is in the top right on your screen too, whatever it is called.
The written parts of this manual should already use your organisation's words. If they do not, the manual has not been told which organisation you are from.
Open it from the help link inside Manaaki Central rather than from a bookmark or a saved link, and it should correct itself. If it still does not, tell your administrator — it is a setting, not something you can fix.
"I cannot find a button someone told me about"
The system shows you what your job needs. Some examples:
- + New Referral is for intake staff, supervisors and programme managers. Case Workers do not get it.
- Manage on the staff card needs permission to change who works with someone.
- Some tabs and menu items only appear for certain services.
Before assuming something is broken, ask a colleague doing the same job whether they can see it. If they can and you cannot, it is a permissions question for your administrator.
"I lost what I was typing"
When taking on someone new, the record is not saved until you finish step 1 and click Continue. Before that point, closing the page loses it.
After step 1 it is saved as a Draft and you can leave and come back freely.
"The dates are all wrong"
Deadlines count from the date the service started, which is set when somebody starts the work — not when the Referral arrived.
If the work really began earlier, fix the start date rather than working around it. See staying on top of deadlines.
"I uploaded the document but it still says it is due"
Check the document type you chose when uploading. The system matches requirements by type, not by file name. A signed consent form uploaded as "Other" does not count as consent.
"My dashboard is empty"
Either nothing is assigned to you yet, or you are looking at a different dashboard from the one you expect. Dashboards differ by job — see your day at a glance.
"I clicked something I should not have"
Very little in this system is destructive:
- Moving between tabs and records changes nothing.
- Put on Hold is easy to undo.
- Closing the work is final. There is no button to reopen it. If you closed something by mistake, tell your supervisor straight away rather than quietly creating a duplicate.
Nothing you enter is deleted by closing work. The history stays, and you can still read it.
Who to ask
| The problem is | Ask |
|---|---|
| A button or menu you cannot see | Your administrator — it is usually permissions |
| The wrong words on screen | Your administrator — it is a setting |
| Whether a document counts | Your supervisor |
| Something you closed by mistake | Your supervisor, before doing anything else |
| The system is genuinely not responding | Your administrator, with the page address |
When you report a problem, the most useful things to include are what page you were on, what you clicked, and what happened instead. A screenshot of the whole window is worth more than a description.
