Finding your way around

By the end of this page you will know what the menu down the left does, and how to get back when you are lost.

The words in the pictures

The pictures in this manual were taken on one organisation's system. Yours uses some different words. The buttons, and where they sit on the screen, are the same.

The menu down the left

It is always there, and it is how you move between the main parts of the system.

The left-hand menu showing the main sections of the system
Your menu may have fewer items than this one. What you see depends on your job.

What the items mean:

Menu itemWhat is in there
DashboardYour starting point — what needs you today
Service Users I am supportingThe people assigned to you
Awareness and EntryNew enquiries that have not been accepted yet
In-progress JourneysWork that is under way
Below those, if your job includes it, there is a management section:
Menu itemWhat is in there
OrganisationsOther agencies you deal with
TemplatesYour organisation's forms, consent templates and policy documents
Your menu is not everyone's menu

The system shows you what your job needs. A Case Worker does not see the same items as an intake officer or a manager, and the management section only appears for people with management access.

If someone describes a menu item you cannot find, you probably do not have that part of the job — that is normal, not a fault.

Templates here are not note templates

The Templates item in this menu holds organisation-wide documents. The ready-made wording you drop into a case note is a different thing, and you get to it from inside the activity form — see writing up what you did.

The bar across the top

When you open someone's record, a bar appears across the top with their name. Underneath it are tabs.

The top bar of a person's record, with the name bar marked one and the phone button marked two
The name is always up here, so you can tell at a glance whose record you have open.

The two marked parts of that bar:

  1. Their name, age and status — this stays at the top as you move around their record, so you always know whose record you have open.
  2. The phone button — their contact number, without going hunting for it.

The tabs are:

  • Overview — the summary. Start here.
  • Entry Details — everything from when they came in.
  • Activities — what has been done with them.
  • Documents — files that have been uploaded.

You can move between tabs freely. Nothing is lost by switching.

Getting back

  • To get back to the start — click Dashboard in the left menu.
  • To go back one step — use your browser's back button. It works normally here.
  • To find a person — use the search at the top of the page.
You cannot break it by clicking around

Opening tabs, looking at records and moving between sections changes nothing. The system only saves when you click a button that says so — Save, Continue, Submit.

Have a look around. It is the fastest way to get comfortable.

If it does not look like this

  • The left menu is missing — click the small panel icon at the top left to bring it back.
  • You cannot find a person — they may not be assigned to you. Try searching rather than browsing your own list.
  • A tab is missing — not everyone sees every tab. Ask a colleague what they see before assuming something is wrong.
