Managing Service Episodes

Learn how to find your Service Episodes, manage assigned staff, and change an episode's status while it's open.

Finding your episodes​

Open Active Care from the sidebar to see everything in progress. The page is organised into tabs:

Completed and Closed episodes don't appear here — they live on the Completed Care page instead. See Closing an Episode.

Search by client name, service, or status, and click View to open an episode's Care Journey workspace. Beside the search box, a dropdown lets you filter by a date range on Last Updated, Last Activity or Last Entry Change — choose the date you care about and a range picker appears next to it.

How the list is ordered​

The list opens sorted by Last Activity, newest first, so the episodes you've worked on most recently are at the top. You can sort by Client, Start Date, Last Updated, Last Activity or Last Entry Change by selecting that column's header; selecting it again reverses the direction. Service, Status and Assigned Staff can't be sorted on.

Last Activity and Last Entry Change are only shown on wide displays — on a narrower screen the list is still sorted by Last Activity, but the column itself is hidden. See Sorting Service Episodes by recent activity for what each date means.

Managing kaimahi​

The Assigned Staff card on the episode's Overview tab (also reachable via Manage kaimahi) lets you:

Two rules apply when removing staff:

  • The primary responsible staff member can't be removed directly — make someone else primary first.
  • You can't remove the last remaining staff member — at least one must stay assigned.

Changing status​

From the episode's Overview tab you can change status manually, depending on where the episode currently sits:

There's no manual action to move an episode to Completed or Closed from this page — that only happens through the closure process. See Closing an Episode.
