Document Library
The Templates section is a shared document library for your organisation. It stores forms, consent templates, policy documents, and other files that staff reference or share with whānau.
All authenticated staff can view and download documents. Uploading and deleting documents is typically limited to administrators and programme managers.
What is the document library?
The document library holds files that belong to your organisation rather than to a specific person or referral. Think of it as your organisation's shared filing cabinet for:
- Blank consent forms
- Assessment templates
- Service brochures
- Policy documents
- Referral forms from external partners
Documents can be scoped to your whole organisation or to a specific service. Use the filter to narrow the view to documents relevant to your work.
Documents attached to individual referrals or service episodes are managed within those records, not here. The Templates library is for shared organisation-level files.
Viewing and downloading documents
Browse the list, use the search bar to find a document by name, or filter by service. Click the download icon on any row to save the file to your device.
Uploading a document
Click Upload Document (top right). Then:
- Select the file from your device
- Give it a clear, descriptive name
- Choose the service scope — or leave it as organisation-wide if it applies across all services
- Click Upload
Supported file types include PDF, Word, Excel, and common image formats.
Deleting a document
Use the delete icon on a document row to remove a file. Deletion is permanent — if the document may be needed for historical reference, consider leaving it in place rather than deleting it.
