Managing Contacts

Each external organisation can have one or more contact people — the individuals at that organisation who are your actual points of contact for referrals and co-ordination.

Contacts tab

Open an organisation's detail page. The Contacts tab shows all contacts linked to that organisation, including their name, role or title, phone number, and email address.

Adding a contact

Click Add Contact in the Contacts tab. Fill in the following details:

  • Full name (required)
  • Role or job title — for example, Social Worker, Principal, or GP
  • Phone number
  • Email address

Click Save to add the contact. They will appear immediately as a selectable referrer source when creating entries.

Editing and removing contacts

Use the edit icon on any contact row to update their details.

Contacts can be removed if they are no longer at the organisation. Removing a contact will not affect historical records where they were previously referenced — those records keep the name and details as they were at the time.

Using contacts in entries

When creating an entry (referral), the Referrer Source field pulls from the contacts list across all your external organisations. Keeping contacts up to date ensures that referral attribution is accurate and your team can follow up with the right people.
